Tuesday, 07 September 2021.- COCESNA through the Executive Direction-CEO in collaboration with the Project and Risk Management (GPR) and the Information Technology Management (GTI); carried out in the period April – August different activities and demonstrations for the evaluation of the available SW tools and the possible alternatives for the implementation of a Document Management System.
This system will respond to the specific needs and characteristics of the organization, to efficiently and effectively manage the flow of documents throughout their useful life, making better use of resources with the following advantages:
- Digitization of documents throughout the organization, which has an impact on the environment.
- Reliable and complete document storage.
- Preservation of evidence and records derived from the organization’s activities, ensuring confidentiality and security and reducing risks due to loss of information.
- Elimination of duplicates, facilitating access to information, exchanging documentation in an agile manner, avoiding inefficiencies and rework.
- Increased productivity by facilitating the collaborative and simultaneous work of several people on a single document.
- Quick access to historical information to support decision making.
- Compliance with legal and regulatory requirements and their follow-up.
- Ensuring and facilitating accountability.
- Construction and maintenance of corporate memory.
- Documentation recovery for business continuity in case of natural disasters, disasters, technical or human errors.
The implementation of the system will be led by the Project and Risk Management (GPR) and the Information Technology Management (GTI), which will be carried out in two phases starting in 2021 and ending in 2022.
